Learn to access configured and understand appointments in Rivet.

Rivet's appointment management system simplifies how you find and organize patient appointments. By integrating directly with your practice's systems or allowing for manual uploads via CSV, Rivet ensures you have the tools needed to filter, view, and manage appointments effectively. This article will guide you through the process of finding appointments, creating and editing views for customized filtering, understanding eligibility statuses, and generating estimates directly from appointments. Here’s what we’ll cover:

1. Finding Appointments

To locate appointments within Rivet, navigate to the top right of the Rivet interface and select "Estimates" > "Appointments." Appointments can be integrated into Rivet from external systems or added manually by uploading a CSV file.

2. Filtering and Saving Views

Views are customized filtered views that users can create for quick access to specific information. Creating a view involves selecting filter criteria, giving the view a name, and saving it. Views can be edited by updating the filter criteria and choosing to either revert or update the original view. Note that views are user-specific but visible to all users on the account if shared.

1. What to expect

  • Views you create or edit will appear for all users on an account if shared.

  • Views can only be created for new sets of filters. In other words, if you already have a view created for a specific set of filters, you won't be able to create a duplicate view. You can always edit the filtered criteria in your original view.

  • Rivet will often start you off with default views like "All."

2. Creating a view

  1. Select the filter criteria you would like to include in your new view.

  2. Click on the "Create new view" button, name your new view, and save it. Quick Tip: Give your views names that remind you of the filters they contain.

  3. Click on your saved view at any time to quickly pull up filtered results.

3. Editing a view

  1. If you click into a view and then update your filter criteria, you can either Revert or Update your view.

  2. Clicking "Revert" will remove your new filter criteria and return you to your original filtered view.

  3. Clicking "Update" will save your original view with your new filter criteria.

3. Understanding Appointment Eligibility

Eligibility checks in Rivet are crucial for understanding a patient's insurance status at the time of their appointment. Automated checks can be set up based on account rules, or performed manually for each appointment. You can manually check eligibility by clicking the check eligibility button in the eligibility column or by bulk selecting appointments using the check box on the left of the table next to each appointment or at the top left to select all appointments on that page.

Benefit status:

Eligible: The patient is eligible benefit values are returned

Ineligible: the patient is ineligible benefit values are not returned

Planned: Eligibility is scheduled to pull in (typically you will see this when bulk selecting and running eligibility for all appointments these will process over time)

Error: something went wrong with the eligibility check

Partial: we only got partial benefits returned from the payer

4. Creating Estimates from Appointments

Estimates can be created directly from an appointment by clicking on the 3 dots on the right of the appointment. You can click Create Estimate or New Estimate from a template. When an estimate is created from the appointments page it will link the appointment to the estimate and add a link to the estimate in the estimate id column on the appointments table. This is useful for many people’s workflow as you can add a filter to only view appointments with an empty estimate ID and have the appointments you have already created an estimate for drop off your worklist.

5. Appointment Settings

Appointment settings in Rivet allow you to configure automated eligibility checks, focusing on the appointments that require estimates. Appointment settings can be accessed by clicking on the automation button in the top right corner of the appointment. Understanding that an account is allotted a specific amount of eligibility checks is crucial. Refining what we are running eligibility for will allow you not to exceed your allotted amounts.

Configuration options include:

  • How many days before an appointment to check eligibility

  • What appointment types to use for eligibility

  • What provider to check eligibility for

  • Configure appointment types to specific service types to pull in the most accurate benefits.
